The purpose of this position is to provide excellent customer service to patients of the clinic and to provide clerical assistance to assigned providers.
Secretaries report to the Operations Manager directly. Primary responsibilities for a secretary are to answer incoming phone calls from patients, collect the necessary information to respond to the patient’s request, make appointments for patients with all clinic providers (although the majority of appointments will be made for the provider(s) the secretary is assigned to), call pharmacies with prescription information, fax information at the provider’s request, type correspondence and other items for the provider and other duties as assigned.
A secretary must be able to understand the clinic’s computer system and make appointments so that the provider’s schedule is optimized for patient care and flow. Secretaries must work closely with assigned providers to understand the provider’s scheduling requirements and make appointments accordingly. Secretaries must also become familiar with other providers schedules within the South and North Clinic, secretary may be asked to cover for another secretary. Secretaries work in a team environment and are responsible to schedule for other providers within the clinic, take messages (documenting in EHR).
The secretary works closely with clinic patients both on the telephone and in person. The ability to handle stressful situations in a calm manner is required.

The incumbent should be a high school graduate or equivalent, possess prior experience in a professional office setting, have prior multiple lines telephone experience and have basic personal computer skills. A type speed of 40 words per minute is required.
The ability to handle multiple tasks at the same time is required. The ability to calmly act in stressful situations is required.
This position requires light work, the ability to lift up to ten pounds.
